How FITSOL collects, uses and protects personal information, and the rights you have under UK data protection law.

2. What This Policy Covers

This policy applies to personal information we process when you:

  • visit our Website;
  • submit an enquiry, contact form or request for a consultation;
  • call or email us;
  • subscribe to updates where offered;
  • attend a meeting, event or webinar we host;
  • act as a contact for a client, prospect, supplier or partner organisation; or
  • apply for a role with us.

It does not cover personal data we process on behalf of a client under a services agreement. In those cases the client is normally the data controller and we act as a processor under the terms of that agreement.

3. Personal Information We Collect

Information you give us. When you contact us or submit an enquiry we typically collect your name, company name, work email address, telephone number, and whatever you choose to tell us about your requirement.

Information collected automatically. When you use the Website we may collect your IP address, approximate location derived from it, device and browser type, operating system, pages viewed, time spent, referring page, and the advertising click identifier that brought you to the site.

Information from third parties. We may receive information from advertising and analytics platforms, business information providers and publicly available sources such as company registers and professional networking sites.

We do not seek to collect special category data through the Website. Please do not submit health, biometric, political, religious or similar information through a general contact form.

4. Why We Use It, and Our Lawful Basis

Under the UK GDPR we must have a lawful basis for each purpose. Ours are set out below.

5. Who We Share It With

We do not sell personal information. We share it only where necessary, with:

  • hosting, email and IT infrastructure providers that operate our systems;
  • customer relationship management and marketing platforms we use to manage enquiries;
  • analytics and advertising providers, including Google, where you have consented;
  • professional advisers such as accountants, auditors and solicitors;
  • subcontractors or delivery partners where a project requires it, under written terms;
  • regulators, law enforcement or other authorities where we are legally required to; and
  • a purchaser or successor if the business or part of it is sold or reorganised.

A current list of our main processors is available on request. Our principal technology providers include the providers used for website hosting, business email, analytics and advertising measurement. Google Analytics 4 is used for website analytics and Google Ads is used for advertising and conversion measurement.

6. International Transfers

We deliver services to clients in the United Kingdom and the United States, and some of our suppliers process data outside the UK.

Where personal information is transferred outside the UK, we rely on one of the following safeguards:

  • a UK adequacy decision covering the destination country;
  • the International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses; or
  • another lawful transfer mechanism recognised under UK data protection law.

7. How Long We Keep It

We keep personal information only as long as necessary for the purpose it was collected, and to meet legal and accounting obligations.

8. Your Rights

Under UK data protection law you have the right to:

  • be informed about how your personal data is used;
  • request a copy of the personal data we hold about you;
  • have inaccurate personal data corrected;
  • request erasure of your personal data in certain circumstances;
  • request that we restrict processing in certain circumstances;
  • object to processing based on legitimate interests, and to direct marketing at any time;
  • receive certain data in a portable format; and
  • withdraw consent at any time, where processing is based on consent.

To exercise any of these rights, contact us using the details in section 11. We will respond within one month. We may ask you to verify your identity first.

Exercising these rights is free of charge in most cases, and does not affect any services we provide to you.

9. Cookies and Similar Technologies

We use cookies and similar technologies on the Website. Non-essential cookies, including analytics and advertising cookies, are set only where you have given consent through our cookie banner.

10. Security

We maintain technical and organisational measures designed to protect personal information against unauthorised access, loss, alteration or disclosure. These include access controls, encryption in transit, and restricting access to those who need it.

No system can be guaranteed completely secure. If a personal data breach occurs that is likely to result in a risk to your rights, we will notify the Information Commissioner’s Office, and you where required, within the timescales set by law.
