Stop paying people to copy data between systems

We find the high-volume, rules-heavy work buried in your operation and automate it end to end — invoices, claims, onboarding, order processing, reporting — using AI that reads documents, makes decisions and writes back into the systems you already run.

Book a process audit

30 minutes. We map one workflow, size what it costs to run by hand, and tell you honestly whether automating it is worth it.

The problem

You already know where the money is going

Every operations leader we meet can name the process. What they lack is a partner who can automate it without breaking the four systems it touches.

Three people, one spreadsheet

Data gets re-keyed between your ERP, your CRM and a shared workbook nobody trusts, and month-end depends on all three agreeing.

Documents that resist automation

Invoices, POs, delivery notes and claims arrive as PDFs, scans and email attachments in fifty different layouts. Traditional OCR gave up years ago.

Automation that broke and stayed broken

A previous RPA project worked until a supplier changed a template. Now the bot is switched off and nobody will own it.

Headcount you cannot justify

Volume is up, budget is not, and hiring two more coordinators to process the same forms is not a strategy.

What you achieve

Six months from now, this is what has actually changed

Not capability statements. The specific, measurable differences an operations director can take to a board meeting — each one baselined before we start and reported against afterwards.

60–85%

Fewer manual touches

On a well-chosen document process, the majority of items pass straight through with no human keystroke at all.

90%

Faster cycle times

Work that queued overnight for a person now completes in seconds, at 2am, at month-end, at peak.

2–4

Quarters to payback

Sized against your real volumes and loaded staff costs during the audit — before you commit a penny.

100%

Auditable decisions

Every automated decision logged with its inputs, confidence score and rule applied. Finance and Risk stay comfortable.

How it runs today
An invoice takes roughly three minutes of somebody's attention, every time
Errors surface weeks later, during reconciliation, when they are expensive
Volume spikes mean overtime, temps, or a backlog that quietly grows
Nobody can evidence why a particular decision was made six months ago
Your best people spend their week on work that needs no judgement
With FITSOL automation
The same invoice is read, matched, coded and posted in about twenty seconds
Anything uncertain is flagged at the point of entry, not discovered later
Peaks absorb themselves — capacity is a setting, not a hiring round
Every decision carries its inputs, confidence and rule — traceable and reversible
Your team handles the exceptions and the relationships. The judgement work.
Size it yourself

What is one manual process costing you a year?

Move the sliders to match your own volumes. This is a rough indication only — we produce the real figure against your actual data during the audit.

Assumes a 7.5-hour working day. Excludes error-correction and rework costs, which usually make the true figure higher.

Capability

What we automate

Not chatbots bolted onto a website. Operational work, running unattended, inside your existing stack.

Intelligent document processing

Extract, validate and post data from invoices, purchase orders, contracts, claims and delivery notes — regardless of layout, language or scan quality.

End-to-end workflow orchestration

Multi-step processes across ERP, CRM, finance and email, with routing, approvals, exception queues and SLA tracking built in.

Automated reporting packs

Board packs, KPI reports and regulatory returns assembled, checked and distributed on a schedule with no analyst touching a cell.

Email and ticket triage

Inbound messages classified, prioritised, enriched with account context and either answered or routed to the right person in seconds.

Legacy system integration

APIs where they exist, secure UI automation where they do not. We connect to the systems your business actually runs, including the ones from 2009.

Controls and audit trail

Every automated decision recorded with inputs, confidence score, rule applied and human override — so Finance, Risk and your auditor stay comfortable.

How it fits together

The blueprint we build to

Every engagement is designed as a system, not a feature. This is the shape of it — reviewed and agreed with you before a line of code is written.

How we deliver

A clear route from idea to impact

Every engagement follows the same five stages, so you always know where you are, what comes next and what you are paying for. No mystery, no drift.

01

Discover

We sit with the people doing the work, map the process as it truly runs, and count the volumes.

Week 1
02

Define

Scope, success measures and the business case agreed in writing before any build begins.

Week 2
03

Design

The automation, its integrations, its exception paths and its security controls, designed together.

Weeks 2–3
04

Deliver

Built, tested against your real documents, run in parallel with the manual process, then switched on.

Weeks 3–7
05

Optimise

Monitored, tuned and supported. Your team trained to run it, with the next process already queued.

Week 8 onward

Technology

Built on the platforms you already license

We are vendor-neutral by design. Where you already have capability under an existing agreement, we use it rather than selling you something new — and we tell you when the tool you own is the wrong one for the job.

Why FITSOL

Why operations teams choose us

Plenty of firms will sell you an automation. Fewer will tell you which process to start with, design for the day it goes wrong, and still be accountable for it a year later. Six reasons operations directors keep choosing us:

Before you call

The questions we are always asked

How is this different from RPA?
Classic RPA follows fixed rules and breaks the moment a screen or template changes. We combine rules with AI models that read intent and context, so a new invoice layout or an unusual phrasing is handled rather than fatal. Where deterministic rules are the right answer, we use those — the point is the outcome, not the technology.
Will our data be used to train public AI models?
No. We deploy inside your own cloud tenancy or a private FITSOL environment, using enterprise model endpoints with training and retention disabled. Data residency can be pinned to the UK, EU or US depending on where you need it to sit.
What happens if the AI gets something wrong?
Every automation runs with a confidence threshold. Anything below it goes to a human exception queue rather than through to your ledger. All decisions are logged with their inputs so any outcome can be traced and reversed.
Do we need to replace our systems first?
No. Most of our work sits on top of existing ERP, CRM and finance systems. We integrate through APIs where they exist and secure UI automation where they do not.
How quickly do we see a return?
On a well-chosen first process, most engagements are looking at payback inside two to four quarters. We size that during the audit using your volumes and your loaded staff costs, before you commit to anything.
What does the process audit actually involve?
A 30-minute call with a consultant, ideally with someone who does the work day to day. We map one workflow end to end, count the volumes, size the annual cost of running it by hand and score how automatable it is. You get a written summary within 48 hours, whether or not you go further with us.
Can you work with our US operation?
Yes. We deliver to clients in both the UK and the United States, with meetings and support cover scheduled across Eastern and Pacific business hours.

Find out what one process is really costing you

Thirty minutes on a call and you will know the annual cost of running your worst workflow by hand, whether it can be automated, and roughly what that would take. You get the written summary either way.
